2. Definitions
- "Booking" means a confirmed reservation for travel services arranged by us.
- "Client", "you", or "your" means the person making a booking or using our Website, including the lead traveler on whose behalf a booking is made.
- "Traveler" means any person participating in a trip booked through us.
- "Travel Services" means safaris, treks, accommodation, transfers, activities, guides, and other services we arrange as part of your itinerary.
- "Third-Party Suppliers" means hotels, lodges, camps, airlines, park authorities, activity operators, and other independent providers whose services form part of your trip.
- "Deposit" means the non-refundable or partially refundable amount required to secure a booking, as stated in your booking confirmation.
- "Final Balance" means the remaining amount payable for your booking after the deposit.
3. Our Role
We act as an agent and organizer of travel services. Many services included in your itinerary are provided by independent Third-Party Suppliers. Those suppliers have their own terms, conditions, and safety standards.
We use reasonable care in selecting suppliers and designing itineraries. However, we do not own or operate all facilities, vehicles, aircraft, or accommodations used during your trip, and we are not responsible for the acts or omissions of Third-Party Suppliers beyond our legal obligations.
4. Eligibility
You must be at least 18 years old to make a booking. If you book on behalf of others, you confirm that you have authority to accept these Terms on their behalf and that all Travelers will comply with them.
Certain activities, including Kilimanjaro climbs, walking safaris, and adventure excursions, may have minimum age, fitness, or health requirements. We will advise you of applicable requirements before booking.
5. Inquiries, Quotes, and Availability
Information on our Website, including sample itineraries, prices, and availability, is provided for general guidance and may change without notice. A booking is not confirmed until you receive written confirmation from us and any required deposit has been received.
Quotes are valid for the period stated in our communication. If no period is stated, quotes are typically valid for 14 days unless we notify you otherwise.
We reserve the right to decline any booking at our discretion, including where we believe a trip is unsuitable for a Traveler's health, fitness, or experience level.
6. Booking Process
To book, you must provide accurate and complete information, including full names as they appear on passports, travel dates, number of travelers, dietary or medical requirements, and emergency contact details.
A contract between you and us is formed when we issue written booking confirmation and receive your deposit or full payment, whichever applies to your booking.
You are responsible for checking your booking confirmation promptly and notifying us of any errors or discrepancies within 48 hours.
7. Pricing and Payment
7.1 Prices
Prices are quoted in the currency stated in your booking confirmation, typically United States Dollars (USD) unless otherwise agreed.
Quoted prices generally include the services listed in your itinerary. Unless expressly included, prices do not cover international flights, visas, vaccinations, travel insurance, personal expenses, tips, alcoholic beverages, optional activities, or items of a personal nature.
Government taxes, park fees, concession fees, fuel surcharges, or supplier price increases imposed after booking confirmation may require an adjustment to your final price. We will notify you promptly if such changes apply.
7.2 Deposits
Unless otherwise stated in your booking confirmation, a non-refundable deposit of 30% of the total trip price is required to secure your booking.
Deposits are applied toward the total cost of your trip. Certain peak-season bookings, charter flights, or special permits may require a higher deposit or full prepayment to third parties.
7.3 Final Payment
Unless otherwise agreed, the final balance is due no later than 60 days before your departure date.
If final payment is not received by the due date, we may treat your booking as cancelled and apply the cancellation terms below.
Bookings made within 60 days of departure generally require full payment at the time of booking.
7.4 Payment Methods
We accept payment by bank transfer and other methods we specify at the time of booking. You are responsible for any bank charges, transfer fees, or currency conversion costs unless we agree otherwise.
Payment must be received in cleared funds before services are confirmed with suppliers.
8. Changes Requested by You
If you request changes to a confirmed booking, we will try to accommodate your request subject to availability and supplier conditions.
Change requests may incur administrative fees and additional costs charged by Third-Party Suppliers. Changes requested within 60 days of departure may not be possible or may be treated as a cancellation and rebooking.
Name changes may be restricted by airlines, park authorities, and accommodation providers. Passport details must match travel documents exactly.
9. Cancellation and Refunds
All cancellation requests must be sent in writing to us at the contact details below. The date we receive your written notice determines the applicable cancellation terms.
Unless your booking confirmation states otherwise, the following cancellation charges apply to the total trip price:
- More than 60 days before departure: loss of deposit; any recoverable amounts from suppliers may be refunded after deducting administrative fees.
- 31 to 60 days before departure: 50% of the total trip price.
- 15 to 30 days before departure: 75% of the total trip price.
- 14 days or fewer before departure, or no-show: 100% of the total trip price.
9.1 Non-Refundable Items
Certain costs are non-refundable once booked, including but not limited to park fees, permit fees, charter flights, special accommodation deposits, and services purchased from Third-Party Suppliers on a non-refundable basis.
9.2 Travel Insurance
We strongly recommend comprehensive travel insurance that covers trip cancellation, medical expenses, emergency evacuation, lost baggage, and adventure activities where applicable. Refunds under these Terms are separate from any claim you may make under your insurance policy.
10. Changes or Cancellation by Us
We reserve the right to modify itineraries, accommodations, transport, or guides where necessary due to weather, road conditions, park regulations, safety concerns, supplier unavailability, or other operational reasons beyond our reasonable control.
If we make a significant change before departure, we will offer a suitable alternative of comparable value where possible, or a refund of amounts paid for unused services, less any non-recoverable costs.
We may cancel a trip before departure if the minimum number of participants is not reached, if payment is not received on time, or if circumstances make the trip unsafe or impracticable. In such cases, we will refund payments made to us for cancelled services, except for non-refundable deposits or supplier costs already incurred, unless your booking confirmation states different terms.
11. Passports, Visas, and Travel Documents
You are solely responsible for ensuring that all Travelers hold valid passports, visas, vaccinations, and other documents required for entry into Tanzania and any transit countries.
Passports should generally be valid for at least six months beyond your intended departure from Tanzania and contain sufficient blank pages, though requirements may vary by nationality.
We can provide general guidance on visa and health requirements, but official requirements change frequently. You should verify current requirements with relevant embassies, consulates, and health authorities before travel.
We are not liable for denied boarding, refused entry, fines, deportation, or additional costs resulting from inadequate or incorrect travel documents.
12. Health, Fitness, and Safety
Safaris, mountain climbs, and adventure travel involve inherent risks, including exposure to wildlife, remote locations, altitude, rough roads, and physical exertion. By booking, you accept these risks.
You must disclose any medical conditions, allergies, disabilities, pregnancy, or mobility limitations that may affect your participation. We will advise whether a trip is suitable, but you remain responsible for assessing your own fitness and obtaining medical advice.
Kilimanjaro and other high-altitude treks carry specific risks including altitude sickness. You should consult a doctor before booking and follow guide instructions at all times.
You must follow the instructions of our guides, drivers, park rangers, and supplier staff. Failure to do so may result in removal from an activity without refund.
13. Traveler Conduct
You agree to behave respectfully toward local communities, wildlife, staff, and other travelers. Harassment, discrimination, illegal activity, damage to property, or behavior that endangers others may result in termination of services without refund.
You must comply with Tanzanian laws, national park rules, conservation regulations, and customs requirements, including restrictions on drones, wildlife disturbance, littering, and removal of natural materials.
14. Limitation of Liability
To the fullest extent permitted by applicable law, our total liability to you for any claim arising out of or in connection with your booking or trip shall not exceed the amount paid by you to us for the affected Travel Services.
We are not liable for indirect, consequential, special, or punitive losses, including loss of enjoyment, loss of profits, or missed connections, except where such limitation is prohibited by law.
We are not responsible for loss, theft, damage, injury, or death caused by Third-Party Suppliers, other travelers, force majeure events, or your own negligence or failure to follow instructions.
Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability for death or personal injury caused by our negligence where such exclusion is not permitted.
15. Force Majeure
We are not liable for failure or delay in performing our obligations where caused by events beyond our reasonable control, including natural disasters, epidemics or pandemics, war, civil unrest, government actions, park closures, strikes, fuel shortages, extreme weather, or failures of transport or communication systems.
If a force majeure event affects your trip, we will work with suppliers to find reasonable alternatives or refunds where possible, but we are not obliged to reimburse costs that suppliers cannot recover.
16. Complaints
If you experience a problem during your trip, please inform your guide or our team as soon as possible so we can try to resolve it promptly.
Formal complaints should be submitted in writing to us within 30 days of the end of your trip, including your booking reference and supporting details. We will investigate and respond within a reasonable time.

All content on our Website, including text, images, logos, and design, is owned by or licensed to us and protected by intellectual property laws. You may not copy, reproduce, distribute, or exploit our content without prior written consent.
You may view and print pages from the Website for personal, non-commercial use only.

We may suspend or restrict access to the Website where we reasonably believe misuse has occurred.
19. Privacy
Our collection and use of personal data is described in our Privacy Policy at https://adventuresseeker.com/privacy. By using our Website or booking with us, you acknowledge that you have read and understood that policy.
20. Governing Law and Disputes
These Terms are governed by the laws of the United Republic of Tanzania, without regard to conflict-of-law principles.
Any dispute arising out of or relating to these Terms or your booking shall first be attempted to be resolved amicably through good-faith negotiation. If unresolved, disputes shall be subject to the exclusive jurisdiction of the competent courts of Tanzania, unless mandatory consumer protection laws in your country of residence require otherwise.
21. General Provisions
- If any provision of these Terms is found invalid or unenforceable, the remaining provisions remain in effect.
- Our failure to enforce any right under these Terms does not waive that right.
- These Terms, together with your booking confirmation and any written addenda we provide, constitute the entire agreement between you and us regarding your booking.
- We may update these Terms from time to time. The version published on the Website at the time of your booking confirmation applies to that booking unless we notify you otherwise.
